Salary Range: $25 to $35 per hour, depending on experience

About the Position
The legal assistant is the backbone of the Personal Injury team. They will serve as the “jack-of-all-trades of the team and assist both the litigation and pre-litigation sides with client matters. As the team legal assistant, this individual will be interacting daily with team members, attorneys, and clients with the day-to-day functions of case management. This individual will be responsible for gathering medical records, public disclosure requests, managing client treatment, maintaining client files, calendaring hearings and deadlines, and other such tasks as directed by the Team Lead. This position requires exceptional communication, organizational skill, and the ability to provide compassionate, professional support while advancing legal casework under attorney supervision.
Key Responsibilities
Client Communication and Experience
- Assist the pre-litigation paralegal and the litigation paralegal with client communication as necessary and at the direction of the Team Lead or attorney.
- Communicate empathetically and professionally with clients regarding any treatment progress and case developments as necessary.
- Encourage and support clients and ensure their experience with the firm is positive and confidence inspiring.
Case Management
- Assist both pre-litigation and litigation paralegals with case management.
- Assist paralegals with case milestones using internal workflows and case management systems.
- Assist the litigation paralegal with court filings, process service requests, and calendaring of deadlines.
Information Gathering and Record Management
- Assist paralegals with gathering case investigative material, including medical records and bills, public disclosure requests, court documents, and other supporting documents/information.
- Assist the pre-litigation paralegal with collecting insurance documentation, sending out Letters of Representation, final lien balances, and other such information as requested by the Team Lead or attorney.
- Maintain comprehensive and accurate case files in the firm’s CMS.
Team Collaboration
- Work closely with attorneys and legal support staff to align on case strategy and expectations.
- Participate in case review meetings and contribute to evaluations regarding liability, treatment status, and resolution pathways.
- Assist the firm with back up support, including back up support to reception.
Administrative Support
- Ensure all client information and documentation is complete and stored accurately.
- Assist with filing, scheduling and follow-ups as needed to support paralegals and case progression.
- Support the firm’s broader mission by contributing to administrative or case support tasks as assigned.
Compliance and Confidentiality
- Maintain strict confidentiality in all client and case matters.
- Adhere to firm protocols, legal ethics, and relevant state and federal regulations.
Professional Development
- Participate in training, performance reviews, and continuing legal education (as applicable).
- Embrace the firm’s core values.
- Other duties as required.
Education & Experience
- Associate or bachelor’s Degree preferred.
- Minimum 1 year of experience in a law firm or legal setting.
- Familiarity with personal injury pre-litigation /litigation terminology and process.
- Experience with Washington State courts (both federal and state), Civil Rules, state statutes, and other applicable rules/laws.
- Proficiency with legal case management software and Microsoft Office Suite.
Required Skills
- Excellent written and verbal communication.
- Client-centered approach and emotional intelligence.
- Strong organizational and time management skills.
- Familiarity with HIPAA, insurance, and medical documentation.
- Familiarity with court rules, state statutes, and Washington courts.
- Familiarity with court filings and calendaring not required but highly desired.
- Ability to work independently and collaboratively as a team.
